Job Description

The Construction Services Coordinator supports the Construction Management team and Senior Director of Construction by managing administrative processes, tracking project information, and ensuring efficient communication across teams. This role is critical in maintaining organization and workflow for various construction projects while providing outstanding service to internal and external stakeholders.

ESSENTIAL FUNCTIONS:

  • Lead the process of tracking and organizing project information for construction management and development projects.
  • Serve as a liaison with internal transaction, property management, and accounting teams, as well as external customers, vendors, and contractors.
  • Respond promptly to requests and ensure timely completion of assignments.
  • Compose routine correspondence and maintain electronic filing systems.
  • Schedule meetings, distribute mail, and handle outgoing packages.

RESPONSIBILITIES:

  • Coordinate RFP processes, including organizing pre-bid meetings and reviewing bid submissions.
  • Prepare, compile, and facilitate the creation of AIA contracts, ensuring all attachments (e.g., drawings, insurance, work letters) are included.
  • Establish and maintain Dropbox project folders and invite team members as needed.
  • Maintain forms, templates, and project documents for the department.
  • Update tracking forms for clients, including Procore and other tools.
  • Manage project closeout documents, lien releases, and compliance with landlord/owner policies.
  • Track and manage construction management fees, working closely with the accounting team.
  • Reconciliation of project costs, construction allowances, and fee calculations.
  • Understand lease types, property management agreements, and construction management agreements to ensure compliance with all three.
  • Maintain current landlord lists and fee structures.
  • Assist in organizing team volunteer opportunities and events, including scheduling and communication.
  • Attend meetings and provide coordination or task support to Construction Managers as needed.

Qualifications

  • Bachelor’s degree is preferred
  • Attention to detail and organizational skills.
  • Mathematical aptitude.
  • Strong interpersonal, written, and verbal communication skills.
  • Self-motivated and proactive in identifying and completing tasks.
  • Ability to handle multiple tasks and prioritize in a fast-paced environment.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Experience with construction management software (e.g., Procore) is a plus.
  • General administrative and file management skills.
  • Familiarity with commercial property management is a plus.
