We are seeking an exceptional Executive Assistant in Nashville, TN to join our growing company with a focus on partnering with our two Co-Founders and high-quality team. This role requires a highly organized, intuitive, proactive and detail-oriented professional who excels in communication and recognizes the importance of their role in ensuring the success of the organization’s leaders. The ideal candidate is highly motivated by adding value, delivering exceptional results, and a quick learner who is deeply accountable for their work.

Responsibilities

Role Overview:
As the Executive Assistant, you will be an important and trusted partner. Your ability to think critically, manage competing priorities, and maintain a high level of professionalism and discretion is paramount to the success of this role.

Key Responsibilities:

  1. Executive Support:
    • Proactively manage and optimize complex schedules, ensuring strong preparation for meetings, travel, and events.
    • Actively work across Kanbrick team to help achieve company goals, deliver results, and contribute to a strong team environment.
    • Partner with Co-Founders on key projects, initiatives, and other matters to provide critical leverage and support
  2. Project Management:
    • Own and manage a variety of special projects, working autonomously and handling ambiguity with confidence.
    • Help identify, research, and propose solutions to operational and business challenges.
    • Assist in driving the execution of key strategic initiatives by tracking deliverables, timelines, and progress, ensuring alignment across stakeholders.
  3. Relationship Management:
    • Foster relationships with key stakeholders, internal teams, and external partners, representing the Kanbrick team with professionalism, tact, and discretion.
    • Handle sensitive information with the highest level of confidentiality and integrity.
    • Partner with external partners on key activities to maximize time for Co-founders
  4. Travel and Event Coordination:
    • Manage complex travel arrangements (flights, accommodations, itineraries) and ensure a seamless experience.
    • Organize and manage events, board meetings, offsites, and other important company gatherings, overseeing logistics, agendas, and follow-up.
    • Work closely with the Kanbrick Community team on key company priorities, events, and initiatives.
  5. Administrative Support
    • Prioritize emails, phone calls, and requests to maximize efficiency, ensuring critical issues are flagged and addressed promptly.
    • Draft, review, and proofread correspondence and presentations, maintaining consistency and quality of communication.
    • Utilize technology to enhance outcomes including new technologies like Artificial Intelligence.
  • Experience: Minimum of 3-5+ years supporting C-suite executives or in equally challenging roles, preferably in fast-paced, high-growth environments. Experience in startups, tech, or venture capital a plus.
  • Advanced Organizational Skills: Strong ability to prioritize, manage multiple competing priorities, and anticipate needs ahead of time.
  • Communication: Exceptional verbal and written communication skills, with the ability to distill complex information and communicate clearly and concisely.
  • Problem-Solving: A proactive, solutions-oriented mindset that can anticipate challenges and resolve them independently.
  • Emotional Intelligence: High level of self-awareness, empathy, and the ability to adapt to a variety of interpersonal dynamics.
  • Discretion and Confidentiality: Comfortable working with sensitive and confidential information, with an impeccable sense of integrity.
  • Tech-Savvy: Proficiency with productivity tools (Microsoft Office Suite, Zoom, AI programs such as ChatGPT, etc), communication platforms, and an ability to utilize new technologies
  • Detail-Oriented: Precision in all aspects of work, from scheduling and email management to document preparation and follow-through.
  • Resilience and Agility: Able to thrive in a rapidly changing environment, maintain composure under pressure, and adjust priorities as needed.
  • Organization: Manages multiple priorities and tight deadlines with grace under pressure. Anticipates issues before they arise, works across the organization and with external partners where needed to plan, prioritize and execute.
  • Event Management: Demonstrated success in coordinating high-profile events with minimal disruptions or issues, and successfully managing vendor and stakeholder relationships.
