Title: Operations Administrator (Full Time) 

Location: Bedminster, NJ  (5-day onsite requirement/ 9am-5pm) 

Reporting to: Operations Manager

About the Role: 

The Operations Administrator will oversee daily office operations, ensuring efficiency, compliance, and administrative support. This role is responsible for managing office logistics, assisting with operational needs, and supporting legal and compliance.  

What You’ll Do: 

  • Retain and file company documentation
  • Oversee the assignment and tracking of the litigation log to maintain accuracy and ensure timely submissions 
  • Assist with financial filings and materials for partners and regulators
  • Manage a litigation log to ensure accuracy and timely submissions
  • Handle electronic mail inquiries received through Spinnaker’s “Contact Us” mailbox
  • Organize internal events and employee engagement activities
  • Coordinate the shipping of annual holiday gifts to partners
  • Act as the corporate account holder for USPS, UPS, FedEx, and DocuSign
  • Maintain the employee and offshore directory, including distribution list updates
  • Answer and direct inbound phone calls as needed
  • Accept service of process and other in-person notifications
  • Provide in-house notary services

Must Haves: 

  • 2-5 of experience in office management, administrative support, or a similar role 
  • Strong organizational and record-keeping skills 
  • Ability to manage multiple tasks and prioritize effectively
  • Proficiency in Microsoft Office Suite and document management 
  • Excellent communication and problem-solving skills 
  • High level of discretion and confidentiality when handling sensitive information 

Preferred Qualifications: 

  • Experience in a corporate or legal environment is a plus 
  • Familiarity with mail processing and document scanning systems 
  • Previous experience supporting operations or governance teams
