Role Overview

They are seeking a highly detail-oriented and process-driven Bookkeeper to manage and facilitate client collection for SRED (Scientific Research and Experimental Development) engagements. This role requires strict adherence to standardized procedures, efficient document collection, and accurate data entry to ensure compliance with SRED filing requirements. Additionally, you will support bookkeeping tasks and assist with email and project management functions.

Responsibilities

SRED Documentation & Compliance

  • Collect and organize necessary documentation for each SRED engagement, including contracts, invoices, employee paystubs, and prior T2s.
  • Follow strict guidelines to fill out preexisting standardized SRED paperwork.
  • Gather contractor totals, input data into Google Sheets, and verify paystub calculations.
  • Review and approve calculated SRED expenses before proceeding with the required SRED schedules (T661, Schedule 506, 508, and 31).
  • Utilize QuickBooks Pro Tax to ensure accurate tax return filings with proper line-item categorization.
  • Collaborate with Alex for final SRED calculation reviews.

Bookkeeping & Record Maintenance

  • Maintain bookkeeping records using ZeroDraft and ensure data accuracy.
  • Assist in keeping financial records organized and updated.
  • Perform basic journal entries and ensure proper categorization of financial transactions.
  • Support testing of accounting tools such as Carbon and Financial Sense.

Administrative & Project Management Support

  • Manage and triage emails for both Ben (CEO) and Alex in an Executive Assistant capacity.
  • Update and refine project management procedures using Monday.com.
  • Promptly follow up on important emails and maintain organized communication channels.
  • Ensure smooth workflow and document management related to bookkeeping and financial reporting tasks.
  • Strong ability to follow detailed instructions with precision.
  • Previous experience in bookkeeping preferred.
  • Familiarity with QuickBooks Pro Tax and Google Sheets.
  • Ability to work efficiently with email-based communication and project management tools (e.g., Monday.com).
  • High level of organization, accuracy, and attention to detail.
  • Initiative and sound judgment in decision-making.
  • Strong written English skills; spoken English fluency is less critical, and an accent is acceptable.

Work Expectations & Performance Goals

  • First few weeks: Extensive coaching to ensure understanding of processes and strict adherence to instructions.
  • First few months: Ability to independently walk through the full SRED process with minimal supervision.
  • Weekly workflow: 3 clients per week, Monday initiation, Wednesday draft completion, Thursday final review.
  • Competitive salary range of up to $1,500/month (with potential for higher based on experience)
