Who We’re Looking For

Brentwood is seeking an Executive Assistant to support a tenured Partner and other senior members of our Investment and Growth and Operations Team. This role is pivotal in ensuring seamless day-to-day operations, managing key priorities, and acting as a liaison across the firm. The ideal candidate is a proactive, highly organized professional who thrives in an agile and results-driven environment and effectively manages multiple priorities with ease.

This role requires someone who is flexible, adaptable, and willing to support all aspects of the Partner's needs, as their professional and personal lives are intricately blended. The right individual will be prepared to offer assistance beyond traditional executive support, ensuring that all aspects of the Partner's responsibilities, both work-related and personal, run smoothly.

Beyond executive support, this individual will work closely with the Executive Assistant team. This group consistently collaborates to plan and execute the firm’s largest events, coordinates calendars across the team, and supports the office in fostering a high-performing and engaged culture. This team also works together to proactively identify opportunities to enhance firm operations, finding efficiencies and streamlining processes to ensure smooth and effective operations.

This is a full-time position, located in West LA (near Westwood). Brentwood has a strong firm culture that operates in-office Monday-Thursday, with Flexible Fridays, as detailed below. Strong preference for candidates that are seeking an in-office working environment with strong ties to the LA area. Candidates should be within a reasonable commuting distance of the office to ensure seamless in-person collaboration.

What You’ll Do

  • Act as a strategic partner to the senior partner, anticipating needs, prioritizing tasks, and ensuring follow through on key initiatives. Proactively handling responsibilities to create efficiency, remove distractions, and keep things moving seamlessly.
  • Be the primary point of contact for internal and external communications, handling confidential matters with professionalism. You'll be communicating with senior members of Brentwood's management teams, Limited Partners, Investor Relations connections, investment banking and other deal sources, among other established PE industry influencers.
  • Manage complex calendars, scheduling meetings, coordinating calls, and handling logistics for board meetings, investor meetings, and industry events.
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries leveraging Egencia, our travel platform.
  • Handle expense reporting and reimbursements, using Ramp to process and track expenditures.
  • Support both professional and personal needs for the Partner, including coordinating personal appointments, assisting with personal errands, and helping manage various personal matters as needed.
  • Support team operations by assisting with employee onboarding, managing office supplies, coordinating vendors, and handling office logistics like ordering lunch and maintaining general office organization. Our EAs work collaboratively to ensure the office runs smoothly.
  • Work closely with the Executive Assistant team to organize and execute firm-wide events such as offsite planning sessions, quarterly outings, Limited Partner Advisory Board meetings, and the Annual General Meeting.
  • Assist in managing Brentwood’s external communication channels, including our website, LinkedIn, Instagram, and email marketing via DealCloud.
  • Identify ways to improve efficiency and streamline processes to improve firm operations.
  • Support team initiatives and act as a resource for all colleagues.

What You Bring

  • 3+ years of administrative support experience, preferably in a scaling professional services, start up, or other entrepreneurial setting.
  • Strong attention to detail, excellent follow-up skills, and a proactive approach to problem-solving.
  • The ability to handle sensitive and confidential information with discretion.
  • Exceptional multitasking and organizational skills—grace under pressure is a must!
  • Strong interpersonal skills and a customer service mindset. You'll be working with executives, investors, and key stakeholders.
  • Tech-savvy with proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with tools like Zoom, Slack, DealCloud (CRM), Ramp, and Adobe Acrobat Pro is a plus.
  • Extensive experience coordinating travel and familiarity with airline, hotel, and credit card reward programs.
  • Excellent written and verbal communication skills.
  • Occasional after-hours availability may be required, along with an enthusiasm to support the Partner’s personal tasks, such as scheduling personal appointments, coordinating travel arrangements for family members, and assisting with various personal and administrative matters as needed.
  • Bachelor’s degree or equivalent experience.
